We are currently seeking an experienced, polished, and highly capable Executive Assistant to support our CEO. This pivotal role will serve as the right hand to our CEO, managing complex scheduling, confidential communications, and strategic coordination across stakeholders and leadership teams.


Position Overview

As the Executive Assistant to the CEO Office, you will be an essential force behind our executive leadership’s success. You will handle high-level administrative duties with professionalism, foresight, and discretion. You will coordinate critical communications, manage sensitive documents, and ensure operational efficiency in a dynamic, fast-paced environment.


đź—‚️ Key Responsibilities

  • Manage and optimize the CEO’s calendar, ensuring thoughtful prioritization and scheduling.

  • Coordinate internal and external meetings, including Board of Directors and Executive Committee (EC) sessions.

  • Prepare agendas, briefings, and follow-up communications for meetings involving offshore and onshore teams.

  • Organize domestic and international travel, accommodations, itineraries, and visa requirements.

  • Serve as the primary administrative liaison in the NYC office for the CEO.

  • Draft, review, and edit correspondence, reports, and high-level presentations.

  • Act as a point of contact on behalf of the CEO with internal departments, board members, and external stakeholders.

  • Organize Board and leadership meetings, handle agendas and minutes, and ensure governance compliance.

  • Assist in planning company events, leadership retreats, strategy meetings, and speaking engagements.

  • Reconcile expense reports and track reimbursements using internal systems.


Qualifications

  • Minimum 10 years of experience supporting C-level executives, preferably in global or high-growth organizations.

  • Proven ability to manage multiple complex calendars and competing priorities efficiently.

  • High level of discretion and confidentiality in handling sensitive information.

  • Outstanding written and verbal communication skills.

  • Strong experience coordinating travel logistics and executive correspondence.

  • Familiarity with governance documentation and compliance procedures.

  • Strong relationship management skills across various stakeholders and departments.

  • Proactive problem-solver with high emotional intelligence and decision-making skills.

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)

  • Experience with Oracle, ERP systems, and Concur

  • Skilled in Adobe Acrobat

  • Familiarity with LinkedIn, X (formerly Twitter), and corporate social media engagement
